Product / retail deduction management
Match and dispute retailer and distributor deductions
When a retailer or distributor payment comes back short, someone has to work out why, match it to a promo or a delivery, and decide whether to fight it. Small finance teams rarely have the hours, so deductions get written off by default, including the ones that were wrong. An automation does the matching every time a remittance arrives.
How it is done by hand today
- Download remittances from each retailer and distributor portal.
- Look up each deduction code and find the promo agreement, invoice or proof of delivery behind it.
- Decide which ones to dispute, then fill in each partner's dispute form before its window closes.
- Write off the rest, usually without knowing which were valid.
What the runbook does
- Pulls each remittance as it arrives and splits out every deduction.
- Matches promo deductions to the promo calendar and agreements, and shortages to proof of delivery.
- Flags deductions with no backup or the wrong amount, and queues them for dispute with the evidence attached.
- Tracks every dispute to resolution and logs what was recovered.
What it costs you today
Total the deductions on the last 6 to 12 months of remittances, estimate the share with no matching backup, and add the hours spent handling them. We do this for free in a deduction audit and show you the number before quoting anything.
Questions we get
Do you take a percentage of what's recovered?
No. You pay a fixed price for the automation and keep everything it recovers.
Do you need our portal logins?
Not for the audit. Exports are enough. For the live automation, access is scoped to what it needs and you can revoke it any time.
How long until it is live?
Three to four weeks from kickoff, including a week running beside your team before it files disputes on its own.
Bring this workflow to a call and we will quantify what it costs you, free, in a week.
